Terms and Conditions

  1. Booking your Holiday

  2. a) Your contract in respect of your holiday is made with RORENA Tours & Safaris (‘the Company‘), registered in Uganda and all bookings are subject to these terms and conditions.

  3. b) All communications by the Company in relation to your holiday will be sent to the address stated on the booking form.
  4. c) All bookings must be made through an authorised representative of the Company. At the time of booking the Company booking form must be completed and submitted together with a deposit of 50% of the total cost of the booking. The company shall not be liable for any booking arrangement done through a third party who is not a representative of the company. 
  5. d) Receipt of the deposit and booking form by the Company shall guarantee confirmation of the booking. A booking shall be confirmed after the company issues a written notice of confirmation.  The Company reserves the right to refuse a booking without giving any reason and shall in that event return any deposit received.
  6. e) Your holiday must be paid in full at least 21 days before the departure date. If payment is not received by the due date, the Company reserves the right to cancel the booking and there shall be no refund of any money deposited. The person who signs the booking form guarantees payment of the total amount shown on the booking form in accordance with these conditions. It is the responsibility of the signatory to ensure the Company receives payment in full by the due date. 
  7. f) If you book within 21 days of your departure date then payment must be made in full at the time of booking of the holiday. 
  8. g) All special requests, such as dietary requirements, couples on honeymoon, anniversaries, birthdays should be noted on the booking form. Honeymoons, Anniversary, Birthdays, should be communicated clearly in the booking so that proper arrangements can be made.
  9. h) The Company will provide the service as set out and confirmed in writing.
  10. Price Policy

  11. a) The price quoted for any trip covers the cost of the planning, the organisation and carrying out of the trip, accommodation, administration and staff, except for the following; for which the you must be responsible: vaccination fees, travel insurance, cost of travel to and from the start / return point of your trip including your international flights, cost of passport and visas, personal equipment and personal expenses while on the trip and any other expenses specifically excluded on the trip description and/or invoice.
  12. b) The Company reserves the right to notify you of any increase in price before accepting your booking.
  13. c) After a Confirmation Invoice has been issued, unless you choose to pay for your holiday in full at the time of booking, the price of your holiday is subject to the possibilities of surcharges in certain limited circumstances. 
  14. d) Optionally, you may choose to pay for your holiday in full at the time of booking, in which case your holiday price will be fixed at the cost quoted by the Company at the time. To qualify for this benefit, you should return the Confirmation Invoice to the Company with full payment to reach the Company within 7 days of the date printed on the Confirmation Invoice.
  15. Cancellation and Changes by the Company

  16. a) Cancellation of bookings must be notified to us by letter or email as soon as possible and your notice of cancellation will only be effective when it is received in writing by us. A cancellation charge shall be paid for the inconvenience caused to the company. 
  17. b) No compensation shall be paid for any changes caused by acts of God. Both parties shall be released from their respective obligations because of force majeure, the holiday shall be deemed to have been suspended. “Force majeure” means any unavoidable circumstances beyond control including but not limited to an act of God, riots, civil disturbance, war (declared or undeclared) military action, pandemics, lockouts, lawful or unlawful labour disputes. It is essential that you take out adequate travel insurance. 
  18. c) The Company reserves the right to cancel your holiday at any time before the date of departure, even after a confirmation notice has been sent. If your holiday is cancelled the Company will refund in full the money you have already paid. No compensation will be payable.
  19. f) Transportation is subject to the conditions of carriage of the carrier, some of which may limit or exclude liability. 
  20. h) The company also has the right to refuse any person as a member of the tour, if in their opinion that person could endanger the health and safety. In any of the events mentioned above, the company’s sole liability and the client’s sole remedy will be limited to a refund of any monies paid, less the amount for services already utilised.
  21. Our Responsibilities

  22. a) To make sure that the trip arrangements we have agreed to offer, perform, or provide as applicable as part of our contract with you are made, performed, or provided with reasonable skill and care subject to the booking made. 
  23. b) The company shall not be responsible for any injury, illness, death, loss (including loss of possessions and loss of enjoyment), damage, expense, cost, or other sum or claim of any description whatsoever which results from your omissions, negligence or force majeure as defined in clause 3 (b). 
  24. c) The company shall not accept liability for any services offered by a third party to a client which services do not form part of our contract.
  25. Client’s Responsibilities

  26. a) The client is responsible for arranging his/her own travel insurance.  
  27. b) The client is responsible for timely checking-in for flights at the correct time. The company shall not be liable for clients missing flights because of late check-ins and no credit or refunds will be given if you fail to take up any component of your holiday.
  28. c) Upon booking a holiday with the Company, the client undertakes to behave in an orderly manner and not to disrupt the enjoyment of others on holiday with you nor to do anything to bring the reputation of the Company into disrepute. 
  29. d) In the event of breach of clause 5 (c) above, the client’s holiday will be terminated with immediate effect and the Company will have no further contractual obligation to you. The Company will be entitled to recover from the offending party and/or the person who signed the booking form compensation for any damage caused.
  30. e) All pre-existing medical conditions must be disclosed in the booking form and failure to do so shall automatically render the contract void.
  31. Governing Law

Any dispute that may arise will be governed by the laws of Uganda.
